Facilities Manager
The Facilities Manager position requires 3-5 years proven facilities administration experience and the ability to coordinate the transportation needs of older adults by providing and overseeing high quality services in a safe, secure, and welcoming environment. Full Time (37.5 hours per week) with benefits S/H/V, medical & dental, SEP, FSA. Salary range $50-55,000 depending on experience.
Job Summary
The Facilities Manger prioritizes the safety and maintenance of the Wallingford Senior Center campus for its visitors and staff, as well as coordinates the transportation program, drivers, and fleet under the supervision of the Executive Director. The position requires: supervision of physical plant and maintenance; knowledge of the trades; organizational skills, communication, and use of technology; self-motivation and interpersonal skills; budget responsibility; sensitivity to the needs of older adults.
Responsibilities
Facilities Management
- Oversee physical plant maintenance in compliance with safety, health, and cleanliness standards, including building interior and exterior, parking lot, sidewalks, green spaces
- Inspect for regular or preventive maintenance all mechanicals including HVAC systems, fire suppression and alarms, electrical, plumbing, and security systems
- Make repairs when possible; arrange for repairs as appropriate with ED approval
- Maintain inventory of tools, equipment, and supplies for facilities maintenance
- Identify potential safety or liability hazards; address problems proactively with ED input or approval
- Respond to building emergencies in conjunction with ED and emergency or police services
- Maintain accurate, timely records; provide monthly reports to ED
- Coordinate with Program Coordinator on equipment maintenance and repairs for Lake View Café and Club 60+; assist with set-up, take-down, and clean-up for various programs; be available to work evenings and weekends as needed
Transportation Services
- Supervise all aspects of transportation services: vehicles, scheduling and dispatch, drivers, aides, passenger scheduling and safety, donations
- Supervise, train, and monitor transportation drivers and aides
- Oversee compliance with FTA drug and alcohol testing, drivers’ licenses, health exam status
- Coordinate regular maintenance of buses with DPW Garage Manager or approved vendors
- Perform regular vehicle safety inspections
- Schedule drivers and aides, create routes, enter passenger information into data base
- Collect passenger donations daily, maintain records, remit receipts to Business Manager
- Solicit and report on feedback from passengers regarding safety, courtesy, timeliness
- Project Management and Budgeting
- Assist ED in planning and implementing major projects, including construction and renovation
- Prepare with ED specifications for competitive bidding
- Coordinate with municipal and private vendors for services such as landscaping, HVAC, professional cleaning, and janitorial services
- Prioritize workflow, trouble shoot, meet deadlines, report on progress
- Build strong partnerships with municipal departments and contractors
- Develop annual budget for supplies, tools, and contracted services
Communication Skills
- Communicate effectively: verbally and in writing
- Build positive relationships with staff, volunteers, and membership; seek feedback
- Use technology to improve workflow, monitor projects, and enhance members’ experience
- Develop as needed policies and procedures related to facilities and transportation
- Develop and update emergency, disaster, and crisis plans related to facilities and transportation
- Prepare monthly and yearly reports
Required Qualifications
- Associate’s degree or certificate from an accredited trade school or technical college, or an equivalent combination of education and work experience
- Minimum of 3-5 years experience in facilities or project management, supervisory capability, and financial responsibility
- Ability to use office technology
- Strong time management skills, ability to multi-task and meet deadlines
- Ability to be self-motivated and take initiative
- Licensed to operate motor vehicle in Connecticut
- Desired Skills
- Familiarity or willingness to learn relevant local, state, and federal building health, and fire codes, including OSHA and ICC building codes
Physical Requirements
- Assist in set-up, take-down, and clean-up for programs and activities, including moving chairs and tables as needed
- Evening and weekend hours as needed
- Travel locally, if necessary
